How to Add a Watermark to a PDF on Your Phone

How to add a watermark in a PDF without uploading it anywhere: stamp Confidential or Draft on your phone in a few taps, with the file never leaving it.

Three blank sheets of paper, the front one crossed by a level amber band across its middle

You have a contract, an offer or a client draft that needs CONFIDENTIAL across it before you send it, and you are holding a phone. Search for how to add a watermark in a PDF and every answer tells you to open Acrobat on a computer or drag the document into a website, which for a confidential file is the one thing you may not be allowed to do. Here is the phone route, plus an honest read on when the browser tools are fine.

How do you add a watermark to a PDF?

There are three routes, and they differ less in what the watermark looks like than in where your document ends up.

  • On a computer, in Acrobat. Adobe's own instructions are written for Acrobat on the desktop. If you already have it open, it is the shortest path.
  • In a browser. iLovePDF, Smallpdf and Sejda all follow the same shape: upload the file, type the text, set transparency and position, download the result.
  • On your phone. An app does the work locally. Watermark Maker's PDF watermarking takes a text overlay or your own logo and marks the document as confidential, draft, or branded, and it processes the file on the device rather than on a server.

For most people the deciding factor is not the feature list but whether they are allowed to hand this particular document to a third party, which is the question every ranked guide to watermarking PDFs skips. If your answer is no, or you do not know yet, the phone route below removes the question, and the design decisions after it apply whichever route you take.

How to add a watermark in a PDF on your phone, step by step

  1. Open the app and select your PDF. Launch Watermark Maker, tap the PDF tile and pick the document from your files. PDF watermarking is a Premium feature.
  2. Choose text or a logo. On the Text tab, type the word you want stamped, such as Confidential or Draft. On the Image tab, Pick Logo imports your company logo — save it as a PNG with a transparent background first, because a JPEG brings a white box along with it.
  3. Place it. The position control is a three-by-three grid of anchors — four corners, four edge midpoints and the center. Center works for a one-word stamp; a corner suits a logo. Put the mark where it reads at a glance without sitting on top of a signature block or a table of figures.
  4. Set the opacity. The OPACITY slider starts at 60 %. Light enough that the text underneath stays readable, dark enough that nobody misses the word. Document watermarks want less than photo watermarks do, so the 30–50 % range we recommend for images is usually heavier than a contract needs.
  5. Tile it if one mark is not enough. Switch SINGLE to TILED and the watermark repeats across the page instead of sitting in one spot, which is what you want on a proof or a document you expect to be screenshotted. DENSITY sets how tightly.
  6. Export and share. The editor prints the page count and Watermark applied to all pages under the preview, so there is nothing to select — tap Export and every page gets the mark. The system share sheet opens with the finished file; send it to email, a messaging app or cloud storage from there, because the app does not leave a copy on the device.

One thing to know before you send it. The app renders each page to a 200 DPI image and rebuilds the PDF from those pictures, so the watermarked copy has no selectable text and none of the original document properties, and it is usually a larger file than the input. That is the right trade for a proof, a draft stamp or a confidential marking. It is the wrong one for a document the recipient needs to search, copy from or run through a contract tool — for those, watermark a copy and send the clean original separately.

How to add a "Confidential" or "Draft" watermark

The convention exists because it works: one word, uppercase, large, centered, in gray. Gray reads as a stamp; a saturated color competes with the body text and makes the document look like a flyer. Text watermarks in Watermark Maker carry the styling you need for this — 31 built-in fonts, six colors, opacity, scale, the nine position anchors and tiling.

The one part of the classic look you cannot copy on a phone is the diagonal. Watermark Maker draws every mark upright; there is no rotation control. In practice that costs you very little, because what makes a stamp read as a stamp is that it is large, centered and clearly not part of the document. If you want it to feel less like body text, scale it up and turn tiling on rather than reaching for an angle.

Pick the word before you pick the design.

StampUse it whenDesign note
CONFIDENTIALThe document is leaving your organization and should not travel furtherLarge, centered, light gray, well above the body text in scale
DRAFTThe version will change and you do not want it quoted back at you as finalSame treatment; add the version or date if people will be holding several copies
The recipient's nameYou are sending the same document to several parties and want to know whose copy leakedSmaller and tiled across the page, so it survives a partial screenshot
Your logoProposals, proofs and pitch decks, where the mark is branding rather than a warningCorner placement, low opacity, transparent PNG

Two things this does not do. It does not restrict what the recipient can do with the file, and it does not survive someone retyping the contents into a new document. The same honest limits that apply to watermarking photos apply here: a watermark states intent and deters casual forwarding, and that is the whole job. If you need the document genuinely restricted, that is a password or a rights-management problem, not a watermark problem.

Why uploading a confidential PDF to a website is a bad idea

The browser tools are not shady. They encrypt uploads and delete on a timer: iLovePDF says any document uploaded to its system is automatically deleted within two hours, and Smallpdf auto-deletes files after one hour unless you save them to an account. Sejda deletes after two hours as well.

The problem is not their housekeeping. It is that the document left your control at all.

The single most common reason to watermark a PDF is that it is sensitive: an unsigned offer, an engagement letter, an HR file, a client draft under NDA. Sending that file to a third-party processor is a disclosure, whether or not anything bad happens to it afterwards, and whether it is allowed is a question for whoever wrote the confidentiality clause rather than for a file-conversion site. Plenty of organizations answer it with a flat no.

If you are watermarking because the document is sensitive, the route matters as much as the mark. Watermark Maker processes PDFs on the phone and uploads nothing, which removes the question rather than answering it. Sejda is fair here too: on the same page it offers a desktop version, where it says the files never leave your computer.

How to watermark several PDFs without redoing the settings

Setting up a stamp once is quick. Setting up the same stamp over and over, slightly differently each time, is how a stack of documents ends up looking improvised.

Save the design instead. Save Template stores the whole design under a name you choose — the text or logo, its font, color, scale, opacity, position and tiling — and Load Template brings it back on a later job. Those saved designs live on the device with everything else. The practical version:

  1. Build one design per purpose. A CONFIDENTIAL stamp for outgoing client documents, a DRAFT stamp for internal review, a logo mark for proposals.
  2. Do the stack in one sitting. Load the saved design, open the next document, export, repeat. The second and third documents cost a reload rather than a redesign.
  3. Keep the placement identical. A stamp that lands in the same spot on every document reads as a process. One that moves around reads as an afterthought.

If it is images rather than documents you have a pile of, that is a different workflow: batch mode applies one watermark to many photos in a single pass, and the batch watermarking guide covers it.

Be honest about where the desktop wins. A large document is easier to check on a big screen, and if watermarking is one step in a longer production process that already lives on a computer, doing it there saves moving files around. The phone wins on the two things that actually decide most of these jobs: the document never leaves your hands, and you can do it from the taxi on the way to the meeting.

What to do next

Decide the route before you design the stamp. If the document is sensitive, keep it on the device; if it is a public brochure, any of these tools will do. Then keep the design you land on, so the next document is a reload rather than a rebuild. If you also need to mark images, the step-by-step for watermarking photos covers that side, and adding a logo without Photoshop covers getting a transparent PNG ready to stamp.

Frequently asked questions

Can you add a watermark to a PDF for free?
Yes, by several routes. Sejda's free service is capped at documents up to 200 pages or 50 MB, three tasks an hour and one file per task. Adobe's own watermark instructions are written for Acrobat on the desktop. Watermark Maker is free to download on Google Play and the App Store, and free for photo watermarks; PDF watermarking is one of its Premium features.
How do you put CONFIDENTIAL across a PDF?
Add a text watermark reading CONFIDENTIAL, scale it well above the body text and keep the opacity low enough that the words underneath are still readable. Center it, so a crop or a partial screenshot still shows it. If one mark is not enough, switch from SINGLE to TILED and it repeats across the page. Gray usually reads better than a saturated color, which fights with the body text for attention.
Is it safe to watermark a confidential PDF on a website?
The mainstream tools are legitimate: they encrypt uploads and delete on a timer, with iLovePDF removing documents after two hours and Smallpdf after one hour unless you save them to an account. The risk is not that they are careless. It is that the document left your device at all, which for anything under an NDA or a client confidentiality clause is a question for whoever wrote the clause. Watermarking on the phone avoids it.
Is a watermark on a PDF permanent?
It stays on the copy you exported, so everyone you send that file to sees the mark. What it is not is a security control: it does not encrypt the document, restrict who can open it, or stop anyone copying the text out and pasting it somewhere else. Treat it the way you would treat a signature on a photograph. It says who this belongs to and what state it is in, and that is the whole job.
Can you watermark a PDF on an iPhone or an Android phone?
Yes. Watermark Maker adds text and logo watermarks to PDFs on both, and the work happens on the device rather than on a server, which is the main reason to do this on a phone instead of in a browser. One naming trap on iOS: the App Store listing is called Watermark Kit – Photo Video PDF, not Watermark Maker, so searching the store for the wrong name will not find it.
